Many businesses view the onboarding process as something which happens after the contract is signed, this, however, is not the case. Getting the onboarding process right for all businesses is critical – but for larger businesses onboarding generally begins well before the contract is signed and is usually a process which is completed in-house.
The role which the recruiter plays in the process can be vital when an organisation is making an offer to a candidate. Managing the aspects of compliance related to onboarding is a task in itself – particularly for businesses which must adhere to various regulatory compliance procedures.
For smaller organisations the onboarding process can fall to the recruiter to complete – i.e. terms of business, eligibility to work, relevant qualifications. In short, completing all of the relevant administration prior to the contract being signed can be complex and often difficult to manage. So how can an organisation ensure that they are able to manage workflow correctly in order to move a candidate forwards?
The best way to manage this process is through tailored workflows. Traditionally when a candidate is employed, communication is sent from the recruitment consultant to the compliance team, who then perform all of the relevant checks. Once this has been completed all of the relevant paperwork is then sent to the client via email.
This sounds relatively simple, yet in reality the task is far more arduous, and not without room for error. In order to streamline this process it would be helpful if the recruiter could use their software in order to run a piece of workflow in real-time, flagging the relevant actions as completed or pending as they occur. Having this ability throughout the entire recruitment process would ensure that the candidate is enlisted and onboarded quickly and efficiently, and that all requirements are met in real-time and as required.
Alongside this, having a workflow that is intuitive also enables recruiters to see potential vacancies which may arise from candidates placed. The workflow can be used to condense all of this information in one place and as such can be used to be proactive and generate more opportunities, more revenue and all in real-time.
